The short answer
Start with one door-to-door timeline covering every city, fixed meeting, train or flight, hotel and luggage movement. Then decide which sections need an airport transfer, a car for the full day, an intercity drive or a new local vehicle after a rail or air journey. One coordinator should see the complete route even when vehicles and drivers change from city to city.
Build the timeline before choosing vehicles
Place fixed events on the calendar first: conferences, factory visits, negotiations and booked long-distance travel. For every train or flight, include the journey to the terminal, check-in or boarding time, baggage collection and the next pickup.
A short distance on a map does not always make a private car the right option. A flight does not always save time once the full door-to-door journey is counted. Compare the complete section, group size, luggage and the ability to work en route.
Four common transport sections
| Section | Typical format |
|---|---|
| Airport or station to hotel | Pre-booked transfer linked to arrival details |
| Several meetings in one city | Car with driver for a defined block or full day |
| Nearby city or remote site | Intercity car with waiting agreed in advance |
| Long movement between regions | Train or flight plus separate local vehicles |
For Moscow and Saint Petersburg, it may be practical to use separate local vehicles and travel between the cities by rail or air. A regional itinerary connecting several sites may work better with one car for multiple days. The final choice depends on the dates, operating time and actual schedule.
Information required for each day
Include:
- city and local date;
- hotel address;
- first pickup time and location;
- meeting addresses and host contacts;
- passengers travelling on each section;
- luggage and professional equipment;
- end-of-day location;
- next train or flight;
- the person authorised to approve changes.
Mark every item as confirmed or provisional. This makes it possible to price the stable route while identifying changes that will require a new approval.
One vehicle or a city-by-city plan?
One vehicle can reduce handovers when cities follow a logical driving route, the group carries equipment or the daily programme may change. A city-by-city plan avoids long empty returns and extended driver working time. A hybrid plan uses rail or air between regions and new cars at each arrival point.
The comparison should include more than the headline price. Consider driver rest, overnight accommodation, tolls and parking, luggage continuity, backup options and who manages a missed connection.
Where to add time buffers
Avoid placing a critical meeting immediately after a long-distance arrival. Add a separate buffer between a remote-site visit and the final train or flight. If a factory or controlled-access venue requires passenger and vehicle details, note the submission deadline in the itinerary.
How to divide the itinerary by city
Use Moscow or Saint Petersburg as the entry or connecting point when that fits the tickets. Then add Kazan, Yekaterinburg, the Krasnodar region, Vladivostok or the industrial location where the meeting takes place. For every city, state the dates, vehicle class, passenger contact and mandatory addresses so the proposal can specify each local segment.
Frequently asked questions
Can one driver cover the whole route?
Sometimes, but it is not automatically the safest or most efficient plan. Distances, driver working time, overnight stops and the return journey must be compared with a city-by-city vehicle plan.
Who manages connections between cities?
Name one coordinator who can see the arrival of one section and the dispatch of the next. Tickets and ground transport may be booked separately, but their timings must be reconciled.
Can you quote a route with provisional meetings?
Yes. Provide a base itinerary and label the options. The confirmed section can be planned first, with clear conditions for later changes.
Is a guide included with the driver?
Not by default. A driver manages the vehicle and route. A separate guide can be added for selected city or cultural sections and included in the service plan.
