The short answer
Prepare five linked files: travellers, arrivals, meetings, transport movements and billing requirements. Mark every item as confirmed or provisional. Use one coordinator and one version of the itinerary for Moscow, Saint Petersburg and any Russian project region.
Keep entry checks separate. A company may be based in Kazakhstan or Belarus while its travellers hold different passports or enter for different purposes.
File 1: travellers
Create one row for every traveller:
- full name used for the booking;
- role in the trip;
- mobile contact or assistant contact;
- communication language;
- arrival and departure group;
- luggage and professional equipment;
- accessibility requirement supplied by the traveller;
- person authorised to change that traveller's schedule.
Avoid sending passport copies to the transport coordinator unless a confirmed access or contracting process requires them. The organiser should share only the fields needed for the service.
File 2: arrivals and departures
Record:
| Field | Example of the required detail |
|---|---|
| Arrival point | airport or railway station, terminal if known |
| Service number | complete flight or train number |
| Planned time | local arrival time and date |
| Meeting method | name sign, assistant contact or group coordinator |
| First destination | hotel, office or event venue |
| Luggage | count and oversized items |
| Status | confirmed, changed or awaiting ticket |
Do the same for departure. The final movement may use a different passenger group and luggage load.
File 3: meetings and sites
Use required arrival times rather than meeting start times alone. For every address, add the building entrance, local contact and access condition.
For an industrial or controlled-access site, request:
- exact checkpoint or gate;
- visitor-list fields;
- deadline for submitting names;
- vehicle and driver details if required;
- equipment or luggage restrictions;
- waiting location;
- contact who confirms release from the site.
The host organisation defines its access rules. The transport plan records the result and the time needed around it.
File 4: transport movements
Create one row for each section:
| Date and time | City | Pickup | Destination | Travellers | Vehicle class | Status |
|---|---|---|---|---|---|---|
| 18.11, 09:00 | Moscow | hotel | office | executive + assistant | executive car | confirmed |
| 18.11, 13:30 | Moscow | office | station | 4 travellers | larger passenger vehicle | provisional |
| 19.11, 08:00 | regional city | hotel | project site | project team | confirm by luggage | awaiting address |
The dates and addresses above are illustrative. The working file should also contain the driver contact process, waiting instruction and change approver.
File 5: billing and supporting documents
Provide the contracting details before the first service:
- legal name of the paying entity;
- billing and registration details requested for the agreement;
- person approving the quotation;
- invoice recipient;
- payment route and currency agreed for the booking;
- required supporting documents;
- preferred breakdown by date, city, vehicle or project code.
Do not wait until the final day to ask whether the client needs separate lines for different departments or travellers. That structure can affect the quotation and service records.
Moscow and Saint Petersburg
For capital-city programmes, separate airport or station arrival from the meeting day. A traveller may reach the hotel with luggage and use another vehicle format for the next day's schedule.
Include:
- hotel and exact entrance;
- fixed offices and event venues;
- station or airport terminal;
- waiting expectations;
- guest groups that follow separate schedules;
- final destination after the last meeting.
The Moscow delegation arrival checklist gives a detailed structure for several arrivals.
Add a Russian regional module
A trip may continue to Kazan, Yekaterinburg, Siberia, the North or the Far East. Treat the new city as a separate module around the train or flight.
For each city, confirm:
- Arrival and departure ticket.
- Local hotel.
- First pickup.
- Site or meeting addresses.
- Passenger group and luggage.
- Local vehicle plan.
- Handover contact.
- Buffer before the next long-distance departure.
The multi-city Russia transport checklist explains how to connect these modules.
Entry checks: verify the traveller, purpose and date
Do not infer entry status from the employer's country. Check each traveller's passport nationality, purpose of visit, route and current official guidance.
Kazakhstan's official 2026 guidance highlights additional digital steps for citizens entering Russia for work or study. A short business meeting may have a different classification from employment. The responsible travel manager should verify the current purpose-specific rule through official government or consular channels.
Citizens of Belarus and Kazakhstan have long-standing regional travel arrangements, but historic agreements should not be used as the only source for a current trip. Rules and digital procedures can change.
The ground-transport file should contain a simple operational status: entry check completed by the responsible person, tickets confirmed, and any arrival constraint relevant to pickup.
Russian or English coordination
State the working language for the organiser, passengers and local contacts. A Russian-speaking client may still require English messages for one executive or visitor. Keep names, addresses and meeting references in the form supplied by the organiser.
Use one change protocol:
- organiser sends the update;
- coordinator enters it in the master itinerary;
- affected vehicle is checked;
- new time is confirmed;
- travellers and local contacts receive the relevant section.
This prevents parallel versions in different chats.
Final checklist
- travellers and roles are listed;
- arrivals and departures include complete service numbers;
- hotels and entrances are exact;
- meeting times are separated from required arrival times;
- access-controlled sites have a checkpoint and host contact;
- passenger and luggage counts exist for every movement;
- regional cities are separate modules;
- billing entity and document requirements are supplied;
- entry checks are assigned to a responsible person;
- one contact can approve changes.
Frequently asked questions
Can one corporate request cover several Russian cities?
Yes. The itinerary can combine local vehicles, rail or air connections and selected intercity sections under one coordinator.
Can TSA invoice a company in Kazakhstan or Belarus?
Send the legal entity details and proposed payment route for the booking. The quotation and contracting method are confirmed for the specific request.
Should passport copies be sent with the first transport request?
Usually the first transport brief needs names, roles and contact details. Share identity-document data only when a confirmed access or contracting process requires it, through the agreed channel.
Can schedules remain provisional?
Yes. Mark the stable base itinerary and list options separately. Changes that affect duration, vehicle capacity or route are reviewed before confirmation.
Request a corporate transport proposal
For a proposal, submit the cities, dates, arrivals, meeting addresses, passenger groups and billing requirements through the TSA contact form. TSA also accepts enquiries on Telegram and at tsa-transfer@mail.ru. The Russia business transport service for Kazakhstan and Belarus page shows the available formats.
